1. Information We Collect
From Customers (Requesters):
- Contact Information: Name, email address, and phone number.
- Event Details: Event dates, times, locations (addresses/zip codes), budget, attendee counts, and food preferences.
- Technical Data: IP address, browser type (User Agent), and the source URL where the request was submitted.
From Vendors:
- Business Information: Company name, contact details, service types, and service areas.
- Platform Usage Data: Embed locations (where you place our request forms), tracking pings, and dashboard activity.
- Calendar Data: Start/end times and descriptions of events you manually add or sync to the Master Calendar.
- Communication Data: The content of private notes you attach to leads and the templates you save as “Quick Replies.”
2. How We Use Your Information
We use your data to operate and improve the Perfect Caterer platform, specifically to:
- Facilitate Matches: Route Customer event requests to appropriate, available Vendors based on location, budget, and availability.
- Power Vendor Tools: Allow Vendors to track their leads, manage their schedules, and communicate with Customers.
- Send Notifications: Send transactional emails (via AWS SES) and push notifications (via Progressier) regarding matches, reminders, and account alerts.
- Prevent Fraud: Use IP addresses and tracking data to detect spam, prevent duplicate requests, and secure the network.
3. How We Share Your Information
We do not sell your personal data. We only share information in the following ways:
- Customer-to-Vendor Sharing: When a Customer submits a request, their details are shared with a limited number of matched Vendors. If a request is submitted directly to a specific Vendor who cannot fulfill it, that Vendor may share the request with the Perfect Caterer Network to find an alternative.
- Service Providers: We share data with trusted third-party tools that power our platform, including our email deliverability providers (AWS SES), marketing automation (FluentCRM), push notification services (Progressier), and payment processors (Stripe).
- Legal Compliance: We may disclose information if required by law, subpoena, or other legal processes.
4. Cookies and Tracking Technologies
- Session & Authentication: We use cookies and temporary “Magic Links” to securely log you into your dashboard without requiring a password every time.
- Embed Tracking: We monitor the domains where our Vendor lead capture iframes and links are deployed to ensure platform health and security.
5. Data Retention & Security
We implement industry-standard security measures to protect your data.
- Security Logs: Raw security data (such as IP addresses and User Agents attached to lead submissions) is automatically scrubbed and anonymized from our active databases after 6 months.
- Account Deletion: If you wish to delete your account or have your data removed from our systems, please contact our support team.
6. Your Communication Choices
- Customers: You may opt-out of receiving emails from specific Vendors by clicking the “Unsubscribe” link provided in their automated messages.
- Vendors: You can manage your notification preferences (such as calendar and note reminders) directly within your Vendor Dashboard.
